Business Systems & Workflow Automation
Removing the repetitive manual work between your systems — the copying, chasing, checking and re-keying that quietly consumes days each month.
Diagram produced for this page — it describes how the work is actually structured.
Business problems we solve
The situations that bring people to this service
If more than two of these describe your organisation, the conversation is usually worth having.
Common use cases
Where this work typically applies
Practical examples rather than industry categories — the pattern matters more than the sector.
- 01Purchase and expenditure approval
Requests routed by value and department, with budget checks, delegation cover and a complete audit trail.
- 02Order to invoice
Orders flowing from capture through fulfilment to invoicing without manual re-entry at each boundary.
- 03Onboarding processes
New staff, clients or suppliers taken through document collection, checks, account creation and sign-off as one tracked sequence.
- 04Compliance and inspection cycles
Scheduled checks issued automatically, evidence captured, non-conformances escalated and records retained.
- 05Quotation production
Complex pricing applied consistently, approvals triggered where margin thresholds are crossed, documents issued automatically.
- 06Reporting packs
Recurring reports assembled and distributed on a schedule instead of being rebuilt each period.
What we can deliver
Deliverables for this service
Not every engagement includes every item. Your quotation lists exactly what is in scope and what is not.
- 01Process audit and time analysis
A documented map of the current process with volumes, handoffs, waiting time and an estimate of the effort each step consumes.
- 02Automation opportunity assessment
Each step classified as fully automatable, partly automatable or requiring judgement, with effort and benefit indicated so you can prioritise.
- 03Workflow engine
Configurable routing with sequential, parallel and conditional paths, deadlines, delegation and escalation.
- 04Automated data movement
Scheduled or event-driven transfer between systems, with validation, retries and failure alerting.
- 05Document generation
Quotations, certificates, contracts, reports and statements produced from live data in your own templates.
- 06Notifications and reminders
The right people told at the right moment, without a daily round of chasing.
- 07Exception handling
A defined route for the cases that do not fit the rule, so automation degrades gracefully instead of failing silently.
- 08Operational dashboard
Live view of items in flight, bottlenecks, overdue steps and volumes processed.
Our approach
How we work on this specifically
- 01Measure before automating
We quantify the current process first. Automating an inefficient process simply makes the inefficiency faster and harder to see.
- 02Simplify, then automate
Many steps exist because of a constraint that no longer applies. Removing them is cheaper and more valuable than automating them.
- 03Automate the rule-based majority
The aim is not to eliminate human judgement but to stop people spending their day on work that requires none.
- 04Design for the exception
Every automated process needs a defined path for the cases it cannot handle, plus visibility so exceptions are not quietly accumulating.
- 05Prove the saving
We agree what will be measured before and after, so the benefit is demonstrated rather than asserted.

Project stages
The sequence from enquiry to delivery
Each stage has a defined output and a review point. You always know where the work stands.
Map
Observe and document the process as it genuinely runs, including the workarounds.
Quantify
Volumes, effort and delay per step, producing a prioritised list of opportunities.
Redesign
A simplified target process agreed with the people who operate it.
Automate
Build and integrate, one process at a time, with the highest-value step first.
Run in parallel
New and old run together briefly to prove equivalence before the manual route is retired.
Measure
Compare against the baseline and address whatever the live data reveals.

Service FAQ
Questions we are asked about this service
The process audit answers that. We record volume, time per step and delay for each part of the process, then rank opportunities by effort against benefit. It is common for the most valuable target to be different from the one people assumed.
That is your decision, not an inevitability. In most engagements the outcome is capacity: the same team absorbing more work, handling exceptions properly and spending time on the parts of the job that need a person. We will not present speculative headcount savings as a benefit.
There is usually a route. Options include supported import and export formats, database-level integration where the vendor permits it, scheduled file exchange, or an intermediate store. Where a system genuinely cannot be integrated safely, we say so and look at what can be improved around it.
It is caught, retried where retrying is safe, and placed in an exception queue with a clear message. Someone is notified. Silent failure is the main risk in automation, so alerting and reconciliation are part of every build rather than an optional extra.
Yes, and it is often sensible. Targeted automation buys back time now while a larger replacement is planned properly. We will tell you where investment would be wasted, so you avoid building on something with a short remaining life.
